Evaluations help you find qualified evaluators for a child by collecting key details about the areas that need to be assessed and automatically sharing them with relevant providers in your EI Broker’s network. Providers review the de-identified details, determine if they’re a good fit, and respond directly on the platform.
1. Access the Evaluations page
Select Evaluations from the navigation bar. Your evaluations dashboard displays a list of all evaluations you’ve created.
2. Start a new evaluation
Click New Evaluation at the top of the page to open the evaluation form.
3. Complete the evaluation form
Fill in each section:
a. Client Information
b. Areas that Need to Be Evaluated
c. Current Provider Disciplines
d. Evaluation Information
e. Availability
f. Family Needs
The Current Provider Disciplines checkboxes control who is notified: the evaluation is sent to providers of all other disciplines, since the child’s current providers don’t need to evaluate their own area.
If you only want certain providers to see the evaluation, enable the Send only to specific providers toggle and choose them from the list.
Do not include any PHI (personally identifiable information) in free-text fields like Family Needs. While the system scans for PHI and removes identifying details before providers see the evaluation, it’s not always 100% accurate—your diligence is essential for maintaining client confidentiality.
4. Submit and distribute
Click Create Evaluation. The evaluation briefly shows as Processing while identifying details are removed and a summary is generated, then it becomes Open and matching providers receive an email notification.
Providers never see the child’s name or street address—only their age, general location, and needs.
As the Annual Evaluation Due Date approaches, providers who haven’t responded receive automatic reminders 30, 14, and 7 days before the due date.
Tips for effective evaluations
- Provide detailed Family Availability—it helps providers quickly determine whether they can take on the evaluation.
- Mark the evaluation as Urgent when the timeline is tight so providers can prioritize accordingly.
- Review your evaluation after submission to ensure accuracy and completeness.
